Your P&L Is Only as Honest as Your Expense Log

Every billing tool will show you a profit and loss statement. Whether it means anything depends entirely on something upstream of the report, and it is worth being blunt about which half people actually get wrong.

Where the number comes from

Profit is what came in minus what went out. Sales get recorded properly because a customer is waiting for a bill. Expenses get recorded when someone remembers. So the top line is close to complete and the bottom line is not — and the gap between them is your profit figure.

Which direction the error runs

Always the same one. Missing expenses make you look more profitable than you are. Nobody forgets to record a sale; people forget to record the diesel, the repair, the CA's fee, the small cash purchases. A P&L built this way is not roughly right — it is systematically flattering, and it stays that way month after month.

What that costs in practice

  • Pricing decisions made against a margin that does not exist.
  • Tax planning based on a profit figure that will change when the bills surface.
  • Not noticing a category quietly growing, because it was never a line.
  • A conversation with your accountant that starts by rebuilding the year.

The fix is upstream, not in the report

There is no setting that repairs this. The P&L is a view of what you entered; if the entries are missing, so is the accuracy. Logging expenses the day they happen is the only thing that changes the output, which is why the expense screen sits one tap from the dashboard rather than buried in reports.

A simple test of your own books

Open last month's P&L and look at the expense side. Can you find rent? Electricity? Transport? Anything you paid a professional? If any of those are absent for a month in which they certainly happened, the profit figure above them is not the one to make decisions with.

What a good month looks like

Not a big profit — a boring, complete expense list. Twenty or thirty entries, each with a real vendor name, spread across the month rather than clustered on the day someone sat down to catch up. When that is the shape of the data, the number at the bottom is worth reading.
